Most community festivals and events in Canada are run by volunteers with five tools and one person's laptop: a Facebook event, a PDF vendor form sent back by email, a Google Form for volunteers and a spreadsheet only one person can edit. UAFest.com puts all of it in one place for free: a website on its own address, online application forms for everyone who wants to take part, and one inbox where the whole team sees every application. It is the system the UAFest team built to run its own festival near Ottawa, opened to other festivals and communities.

What is free

The website, the application forms and the team inbox are free. Paid help is available by agreement for organisations that want someone to set it up for them, a custom design or their own domain.

  • Website — your own page at your-festival.uafest.com with dates, venue, programme, partners and contacts, in English and Ukrainian
  • Application forms — vendors, food vendors, performers, volunteers and sponsors; switch each call on or off
  • Reference numbers — every application gets one, so nobody is lost between emails
  • Team inbox — every application in one list with its status and contact; colleagues join by email, and the list exports to CSV
  • Volunteers without waiting — volunteers are approved on arrival, the rule from UAFest's own season
  • Playbooks and mentors — step-by-step guides and sessions with the people who organise UAFest

Who it is for

UAFest.com is built for Ukrainian festivals and communities: festival committees, parishes, Saturday schools, dance ensembles and community associations that run an event with vendors, performers and volunteers. A group that has talked about a festival for years can start with a public page that has a date, a place and a volunteer form, and see who signs up before booking anything.

Organisations that already have a website keep it and link the application forms from it, or move the event page to UAFest.com and point the old site to it.

From sign-in to the first application in one evening

Sign in with your email; a link arrives in the inbox, so there is no password to remember. Enter the name, the date and the city, and your-festival.uafest.com is published in English and Ukrainian. Choose the calls you need. Share one link in the community chat, on the Facebook page and in the parish newsletter. Applications land in the team inbox, each with a reference number.

There is a demo festival at demo.uafest.com with a published site and working forms; what you send there goes to a demo inbox that no festival team reads.

Tested on a real festival season

The system ran UAFest 2026 - Ukrainian Festival near Ottawa: 390 applications from vendors, volunteers, artists, sponsors and guests, 253 personal cabinets for participants and 13 people of the organising team working in it, according to the festival's own records in October 2026.

Applications belong to the organisation that collects them, and other festivals never see them. QR passes for participants and mailings to all vendors or all volunteers ran at UAFest 2026 and are being moved to UAFest.com next.
